University summer balls: selling tickets without the stress

Ticket tiers, committee workflow, licensing and the door on the night.

Summer balls are the biggest night of the year for many students' unions, colleges and societies. Budgets are large, deposits are due early and committees change every year.

A clear ticket structure and one shared system make the handover easier and the money more predictable.

How it works

  1. 1

    Create your event

Add the name, date, venue and ticket tiers.

  2. 2

    Share the link

Post it on Instagram, in WhatsApp groups or on your website.

  3. 3

    Scan the door

Check QR codes with your phone and see a live headcount.

What to look for

Ticket tiers

Typical tiers are dining (dinner plus the ball), non-dining (entry after dinner), and sometimes an after-party or VIP tier. Give each tier an allocation that matches seats at dinner and overall capacity.

Open with a capped early bird tier and announce the line-up or theme to drive the next release.

Groups and tables

Students book with friends. Offer table tiers or group purchases so one person can buy for the table, while every guest still receives their own QR ticket by WhatsApp and email.

Licensing, music and security

If the ball is in a marquee or venue that isn't licensed for alcohol or regulated entertainment, in England and Wales a Temporary Event Notice covers fewer than 500 people, staff included; above that, a premises licence is needed. Check whether the venue's TheMusicLicence covers your night or arrange a temporary permit with PPL PRS.

Door supervision at licensed premises while alcohol is served or regulated entertainment is provided needs SIA-licensed door supervisors, including for in-house staff.

Committee workflow

Run the ball as one event with several tiers rather than separate spreadsheets. Give each committee member or society their own promoter link so you can see who's selling, and keep refunds and name changes to a published policy.

Entry on the night

Guests in black tie arrive in waves around the start time. Several phones scanning in parallel, a separate lane for guest list and staff, and the live headcount keep the queue short and the venue within capacity.

Understand the real cost: 0% organiser fee.

Frequently asked questions

Should dining and non-dining tickets be separate tiers?

Yes. Separate tiers with their own allocations make sure you never sell more dinner places than seats.

Do we need a licence for a summer ball in a marquee?

If you're selling alcohol or providing regulated entertainment on an unlicensed site in England or Wales, a Temporary Event Notice can cover fewer than 500 people; larger balls need a premises licence.

Can each society get its own sales link?

Yes. Promoter links attribute every sale, so each society or committee member can see what they've sold.
